# Event Management
There is a particular kind of relief that comes from knowing that someone else has the logistics in hand. The structure is organised. The suppliers know when they are arriving. The day has a timeline that everyone is working to. And if something needs a decision at 6pm on the evening of the event, there is someone there with the knowledge and authority to make it.
That is what our event management service is built around. From the first site visit through to breakdown, we manage the infrastructure, the planning, and the people. You attend your event.
What's included
Site survey and planning
We visit the location before we quote. We assess ground conditions, access routes, power availability, and any planning or permissions considerations relevant to the site. We produce a scaled floor plan showing the structure, furniture layout, catering position, bar, dance floor, and emergency exits. For more complex sites — sloped ground, restricted access, multiple structures — we will revisit as the plan develops.
Supplier coordination
For full-service events, we act as the logistical point of contact for your other suppliers. Caterers need to know about power and water connections. AV companies need the structural dimensions. Everyone needs a confirmed arrival window and a clear site schedule. We manage all of it, which means your inbox is considerably quieter in the weeks before the event.
We don't tell you who to use. We work professionally with whoever you have chosen.
Pre-event timeline
We produce a detailed event-day timeline and share it with all suppliers in advance. It covers structure build, supplier access windows, setup completion, event start, catering service, and breakdown. Everyone knows when they are on site and what is expected of them.
On-the-day management
One of our team is on site for the full duration of the event. They are not there to oversee the catering or direct your guests — they are there to ensure the infrastructure performs as it should, to liaise with the venue where needed, and to handle anything that requires someone with knowledge of the structure and the site. For most events, they are invisible. That is the point.
Breakdown and reinstatement
After the event, we manage the full breakdown and remove all equipment. For events on private land, ground reinstatement requirements are discussed and agreed at the planning stage.
What's not included
Event management covers the planning and delivery of the marquee event infrastructure. It does not include catering, bar staff, or beverage supply; floral design or table styling; entertainment; photography or videography; guest transport; or wedding ceremony coordination.
If you need recommendations for any of these, we can suggest suppliers we have worked with and respect. We only pass on names we would use ourselves.
How it works
Enquire. Contact us with the date, location, and a brief outline of the event. We will confirm availability and arrange a site visit — usually within a week for events more than six months out.
Plan. We visit the site, produce a floor plan and an itemised quote, agree the specification, and confirm the timeline. We coordinate with your confirmed suppliers directly from that point.
Deliver. We build, manage the day, and break down. You attend your event.
Frequently asked questions
How far in advance should I book?
For weddings and larger private events, nine to twelve months is the norm. We take bookings further out than that for peak summer dates — if you have a date in mind and are at an early stage of planning, a short call is all it takes to confirm availability and hold the date while you think. For events booked at shorter notice, it depends on availability and the complexity of the brief. We will always be honest about what we can deliver.
Do you work outside Sussex and Surrey?
Yes. Our primary area is Sussex, Surrey, Kent, and London, and we work regularly across the Thames Valley, the Home Counties, and into Suffolk. Travel costs for anything outside our core area are included in the quote — there are no mileage surprises at the end.
What happens if something goes wrong on the day?
Our on-site team is experienced and has the authority to make decisions without needing to escalate. We have contingency plans for the scenarios that come up at events — weather changes, equipment issues, supplier delays. If you would like to discuss our approach to risk and contingency at the planning stage, we are happy to do that. Some clients find it reassuring; others prefer not to. Both are fine.
